Privacy & GDPR policy

This privacy policy sets out how Rochdale Supporters Club Ltd (the Dale Trust), a registered society (29690R), uses and protects any information that you provide when you use this website or join the Trust.

The Dale Trust is committed to ensuring that your privacy is protected. Should we ask you to provide information by which you can be identified, you can be assured it will only be used in accordance with this privacy statement. We may update this policy from time to time by updating this page.

What we collect

Your name and date of birth (date of birth determines junior membership)
Contact information including postal address, telephone number(s) and email address
Your membership type, preferences, and any changes you tell us about
Data you submit in response to surveys and/or offers
Anonymous statistical data regarding the use of our website — our website analytics do not use tracking cookies
Any other information the Dale Trust requires to fulfil its legal obligations or contracts with you

What we never hold: your card or payment details. Payments are handled entirely by our payment provider (SumUp) on their secure systems — card numbers never touch the Trust's own records.

What we do with your information

Internal record keeping and maintaining the register of Dale Trust members required of a registered society
Ensuring only members vote in Trust ballots, meetings, AGMs and elections
Keeping you informed of Trust news, events, meetings, coach travel and member benefits
Improving our services, and occasionally contacting you for research purposes by email, phone or post

By joining the Trust you accept that we will send membership communications: newsletters (where you have opted in), AGM and meeting notices, coach travel details and other information relevant to your membership.

Exile transport sharing: if you are an Exile member and choose to opt in, we will share your general area and email address in the members-only newsletter so nearby Exiles can arrange shared transport. This happens only with your explicit opt-in, which you can withdraw at any time.

Junior members: junior memberships should be registered by a parent or guardian, whose contact details we use for all communications about the junior membership.

Who processes your data

Your membership record is stored securely with our infrastructure provider (Cloudflare) in the UK/Western Europe. Membership emails are sent through our email provider (Resend). Payments are processed by SumUp. Each acts under contract as a data processor; the Dale Trust remains the data controller.

Data retention

We keep your personal details — name, address, email, telephone and date of birth — for the current season and for 12 months after your membership ends, so that we can invite you to renew. After that, those details are permanently removed from our records.

We do keep anonymous membership statistics indefinitely — how many Adult, Exile and Junior members the Trust had in each season — because a registered society needs to be able to report on its own history. These figures contain no personal information and cannot be linked back to any individual.

You can ask us to remove your details sooner at any time (see ‘Your choices & rights’ below).

Your choices & rights

You may access, amend or ask us to delete the data we hold on you at any time. Email [email protected] or write to Rochdale Supporters Club Ltd, PO Box 1907, Rochdale, Lancs, OL16 9EX. If you request full removal, we will explain any data we must retain by law (for example, statutory membership register entries) and act in full accordance with the law.

Security

We are committed to keeping your information secure. Suitable physical, electronic and managerial procedures are in place to safeguard the information we collect, including encrypted storage, two-factor authentication on Trust accounts, and access limited to the officers who need it.
